Roles and responsibilties

Committee members

​

Chair

  • Provides leadership and ensures the committee fulfils its role

  • Liaises with the school, including identifying fundraising goals

  • Working with the Secretary, sets the agenda for and chairs meetings

  • Coordinates activities, prepared in consultation with the committee

  • Writes and presents an Annual Report on activities

  • Supports other officers, committee members and parent volunteers

Treasurer

  • Manages bank accounts, and liaises with the bank

  • Maintains a record of income and expenditure

  • Ensures the committee is aware what funds are available, and that money is spent

    as agreed

  • Makes agreed payments

  • Performs the Treasurer function for activities and events

  • Prepares the annual accounts and Charity Commission return

  • Supports committee members and parent volunteers

Secretary

  • Makes meeting arrangements and assists the Chair in setting the agenda for meetings and the Annual General Meeting (AGM)

  • Prepares and distributes documents for meetings

  • Takes and publishes meeting minutes

  • Supports other officers, committee members and parent volunteers

Ordinary Committee members

This role does not require so much time as the Officers’ roles and can flex around individual availability, but is nevertheless a commitment to engaging with the development and execution of plans. There can be up to nine ordinary Committee members.

  • Contributes to ideas and plans for the calendar

  • Discusses and votes on how to spend funds (usually on funding requests from

    the school)

  • Leads and/or actively helps out at events

  • Encourages parents to engage with activities and volunteer for events

  • Attends meetings and the AGM

​

Other responsibilities:

  • Council liaison, lottery license applications and returns, event licenses

  • Communications: social media (Facebook, Twitter, Instagram), newsletter, new parents’ information, website

  • Health and safety: conducting risk assessments prior to events, arranging first aid cover for events, preparing and displaying safety signage for events, liaison with insurance providers, purchase insurance as required, health and safety representative at each event

  • Sponsorship co-ordination

  • Second hand uniform sales co-ordination

Non-Committee: FOCS helpers

Parents and carers who wish to get involved in supporting fundraising activities can join the FOCS helpers' list.

 

FOCS helpers support the FOCS team in a variety of ways - by promoting events and activities, volunteering at events, contributing suggestions and informally gathering ideas and feedback from other parents and carers.
